Chapter 10 - Part-time working and job sharing

Appendix 3 - Model minute for part-year working


  1. Your application of xxxx for a part-year working arrangement has been approved, subject to your acceptance of the revised terms and conditions of service set out below:
  2. Hours

  3. You will be required to work at the following times each year:
  4. [Set out the periods during which the part-year appointee will be required to work each year. It is not sufficient to refer to other events such as school terms; the periods of work need to be set out in such a way as to leave no room for misunderstanding between the parties as to when a period of work will begin and end. It may not always be possible accurately to predict these dates and in any one year Areas/HQ Directorates may find that they are employing someone for more or less time than they need. (The employee may also find that, occasionally, their working arrangements require them to work longer than they would prefer, but the option exists to use annual leave in these circumstances).

    Pay

  5. Your rate of pay will be xxxx per annum, which is (no. of calendar days in the period of work/365) of the full-time salary. The periods of absence when you will not be required to work will be unpaid.
  6. Annual Leave

  7. The periods when you are not required to work do not count as effective service for the purpose of calculating your annual leave allowance or for qualifying for a higher leave allowance. Your annual leave allowance under this arrangement will be xx days.
  8. Public Holidays and Privilege Days

  9. You will receive xx hours/days public holidays and privilege days to cover the calendar year (January to December). This is the proportion of the full-time allowance of 10.5 days based on the number of weeks you work in a year.
  10. Sickness Absence

  11. You will not receive sickness absence pay for the periods when you are not required to work under this arrangement.
  12. Maternity or Adoption Leave

  13. The periods when you are not required to work under this arrangement will not count as qualifying service for paid maternity leave.
  14. You will not be paid for maternity/adoption leave which falls during a period of unpaid absence.

    Mobility

  15. As a part-time member of staff you will be regarded as non-mobile and will not be required to transfer to a post outside reasonable daily travelling distance of your home. If you change to full-time hours you will assume the mobility obligation of your level. If this is a mobile level, you can be required to transfer anywhere in England and Wales.
  16. Superannuation

  17. All part-time staff are eligible for membership of the Principal Civil Service Pension Scheme (PCSPS). The periods when you are not required to work under this arrangement count for the purposes of qualifying for superannuation benefits, but do not count as reckonable service.

  19. If you are willing to accept the revised terms and conditions of service contained or referred to in this minute, please sign one copy and return it to me as quickly as possible.
